Terms, conditions and client policies.

These terms set out how we work together so that your child receives consistent, high-quality support. Please read them before services begin. Effective 24 July 2026, version 2026.1.

In these terms, “GGKH”, “we” or “us” means Guided Growth Kids Hub; “you” means the parent or caregiver; and “Growth Facilitator” or “facilitator” means the GGKH team member delivering your child's sessions.

1. Session time and punctuality

  • Sessions begin and end at their scheduled time.
  • If you or your child arrive late, the session still ends at its scheduled time. Late arrival does not extend it; this protects the next family's slot.
  • If your facilitator is late, the lost time is made up or credited to you.

2. Cancellation and rescheduling: the 48-hour rule

  • To cancel or reschedule, let your facilitator know at least 48 hours before the session.
  • Cancellations made within 48 hours are non-refundable and cannot be redeemed.
  • Sessions missed without notice are forfeited.
  • Exceptions may be made for genuine medical emergencies, at management's discretion.

3. Scheduling and weekly confirmation

  • Session days and times are agreed in advance.
  • Where sessions are not fixed weekly, please confirm or request changes for the coming week by Friday evening.
  • Any schedule change is arranged directly with your facilitator and confirmed.

4. Fees and payment

  • Fees are set out in our current rate card, provided on request and confirmed in writing before services begin.
  • Payment is due before the month begins, by the first of each month, unless a prior arrangement has been approved.
  • Sessions do not commence until payment has been received. Late payment may result in temporary suspension of services.
  • Once a month's sessions have commenced, fees are non-refundable. Credits are not transferable between children.
  • In-home sessions may carry a travel fee, charged at cost at the prevailing SARS rate per kilometre and confirmed with you in advance.

5. Assessments

  • Every new child completes an initial assessment before services begin.
  • The assessment fee is non-refundable.
  • Assessment outcomes guide programme recommendations. They are not a diagnosis (see section 11).

6. Parent and caregiver responsibilities

Progress is a partnership. You agree to ensure your child is ready, fed and regulated before each session; to provide a safe, distraction-reduced space; to be present during online sessions where required; to communicate openly and respectfully with your facilitator; and to follow recommended home strategies so that skills carry over between sessions.

7. Illness and health

  • Please cancel if your child is unwell.
  • For in-home sessions, tell your facilitator if anyone in the home is sick.
  • Your facilitator may end or decline a session if a child is visibly unwell.

8. Behaviour and safety

  • Challenging behaviour is expected and supported. It is part of the work.
  • Where behaviour becomes aggressive or unsafe and poses a risk to the facilitator, we may end the session or require a parent to be present.

9. Communication boundaries

  • Please keep contact to reasonable working hours, and mark anything urgent clearly.
  • Facilitators do not provide ongoing coaching via WhatsApp between sessions.

10. Termination of services

  • Either party may end services by giving one calendar month's written notice, which begins on the date written notice is received.
  • Sessions scheduled during the notice period remain payable.
  • We may end services immediately if policies are repeatedly breached, or payments are consistently late or outstanding.

11. Disclaimers

Non-diagnostic. GGKH provides educational, developmental and skill-based learning support. We do not diagnose autism, ADHD, learning disorders, or any medical or psychological condition. Observations and assessments are used solely to inform programme planning and learning support.

Progress. Every child is unique and progress varies. Outcomes depend on the consistency of sessions, parent involvement, attendance, and each child's individual learning profile.

Our approach. GGKH operates as a learning-support organisation, not a clinical practice. Our approach is ABA informed, play-based and developmentally appropriate. Our facilitators are trained learning-support specialists, not clinicians.

12. Privacy and your personal information

We collect personal information about you and your child only to deliver and administer our services, and handle it in line with POPIA: we keep it secure, limit who can access it, and do not share it without your consent except where the law requires. You may ask to see or correct the information we hold. Our full privacy notice has the details.

13. Photos and learning records

With your consent, your facilitator may keep notes, photos or short videos solely to document your child's progress and plan sessions. These stay private to your child's records and are never used publicly or for marketing without your separate written consent. You may ask us to stop at any time.

14. Policy updates

We may update these policies as needed and will notify you of any material change. Continuing to use our services after notice constitutes acceptance of the updated policies.

15. Governing law

These terms are governed by, and interpreted under, the laws of the Republic of South Africa.

16. Agreement

By commencing services you confirm that you have read, understood and agree to these terms. A signed copy is kept with your child's file.
